Have questions about planning a destination wedding? You’re in the right place.
Destination weddings come with a lot of moving pieces — resorts, room blocks, guest travel, payment deadlines, wedding coordinators, travel documents, and all the little details that can sneak up on you.
These FAQs are here to help you understand what destination wedding travel planning looks like, what I help with, and how the process works from the first inquiry through the weeks after you return home.
Getting Started
Do we need a travel agent for a destination wedding?
You are not required to use a travel agent for a destination wedding, but having one can make the process feel much more organized and supported.
A destination wedding is not the same as booking a regular vacation. You are choosing a resort, securing a wedding date, setting up a room block, coordinating guest travel, tracking deadlines, answering questions, and making decisions from hundreds or thousands of miles away.
I help guide the travel side of the experience so you are not trying to figure everything out alone.
When should we start planning our destination wedding?
Most couples should start planning 12–18 months before their preferred wedding date.
This gives you more options for resorts, wedding dates, room categories, and guest payment timelines. It also gives your guests more time to plan, budget, request time off, and make travel arrangements.
Shorter timelines can sometimes work, but availability may be more limited.
What if we have no idea where we want to get married yet?
That is completely okay.
Many couples come to me with a general vision, not a specific resort or destination. You may know you want a beach wedding, an all-inclusive resort, warm weather, or a destination that feels easy for guests to travel to — and that is enough to start.
I’ll help you narrow down the options based on your vision, guest needs, budget, travel preferences, and the kind of experience you want to create.
What destinations do you specialize in?
My main focus for destination weddings is Mexico and the Caribbean.
These destinations offer a strong mix of all-inclusive resorts, wedding packages, guest-friendly travel options, and beautiful settings for destination celebrations.
Depending on your guest count, location, and overall needs, I may be able to help with other destinations, but Mexico and the Caribbean are where most of my destination wedding planning is focused.
Do you only work with all-inclusive resorts?
Most of the destination weddings I plan are at all-inclusive resorts because they tend to make the experience easier for couples and guests.
With meals, drinks, activities, accommodations, and wedding packages often in one place, all-inclusive resorts can simplify a lot of the travel experience. That said, every couple is different, and I’ll help you understand what makes the most sense for your wedding.
Working With Katie’s Travel Agency
What do you help with?
I help with the travel planning side of your destination wedding.
That includes personalized resort recommendations, wedding date and room block support, guest booking assistance, payment reminders, travel documents, transfer guidance, pre-travel emails, travel support, and post-travel follow-up.
The resort’s wedding coordinator handles the wedding-day details. I help manage the travel experience around it so you and your guests feel informed, supported, and prepared.
Do you plan the actual wedding day?
The resort’s wedding coordinator handles the wedding-day details, such as ceremony setup, reception details, menu selections, décor options, timeline, and on-site wedding logistics.
I do not replace the resort coordinator, but I do help you navigate the process. I can help you understand what questions to ask, what may be worth adding, what you may be able to skip, and when something needs follow-up.
What is the difference between you and the resort wedding coordinator?
Your resort wedding coordinator works for the resort and focuses on the wedding-day details at the property.
I work with you on the travel side of the experience. That includes helping you choose the right resort, set up the room block, support guest bookings, track travel deadlines, prepare guests before departure, and assist with travel questions before, during, and after travel.
Both roles matter, but they are not the same.
Will we work directly with you?
Yes. My planning approach is personal and hands-on.
You will have me helping guide the process, communicate next steps, and support you and your guests through the travel planning experience. My goal is for you to feel like you have someone in your corner who understands destination weddings and genuinely cares about how this experience feels for you.
Do you charge a planning fee?
Yes, destination wedding planning includes a planning fee.
Destination weddings require a high level of time, communication, organization, research, guest support, and follow-up. The planning fee allows me to provide a more hands-on experience and take on a limited number of weddings with the care and attention they deserve.
Why do you charge a fee if resorts pay commission?
A destination wedding involves much more than booking a room.
There is research, resort matching, room block setup, contract review, guest communication, payment tracking, deadline reminders, travel documents, transfer coordination, pre-travel prep, during-travel support, and post-travel follow-up.
The planning fee reflects the time, expertise, systems, and support involved in helping your destination wedding experience feel organized from start to finish.
Resorts & Destination Selection
How do you help us choose the right resort?
I start by learning about your vision, guest count, priorities, budget, travel preferences, and what you want the experience to feel like.
Then I narrow down resort options that make sense for your wedding and your guests. I’m looking at things like location, guest comfort, room options, wedding packages, resort layout, food and service reputation, travel access, group policies, and overall fit.
You will not receive a random list of every resort that hosts weddings. You will receive curated recommendations chosen with your specific wedding in mind.
How many resort options will we receive?
Most couples receive 3–5 personalized resort recommendations.
This gives you enough variety to compare options without overwhelming you with too many choices. The goal is to help you make a confident decision, not send you into another research spiral.
Can we choose a resort we already found online?
Yes. If you already have a resort in mind, we can absolutely talk through it.
I’ll help you look at whether it makes sense for your wedding vision, guest needs, room block options, travel access, and overall priorities. Sometimes a resort that looks perfect online is a great fit — and sometimes there are important details worth considering before you commit.
What if we saw a resort on TikTok or Instagram?
Send it my way.
Social media can be a great place to gather inspiration, but it does not always show the full picture. I’ll help you look beyond the pretty videos and consider the details that matter for a wedding group, like room availability, guest experience, wedding package options, travel logistics, and resort policies.
What are the best destinations for a Mexico wedding?
Popular Mexico destination wedding locations include Cancun, Riviera Maya, Playa Mujeres, Cabo, Puerto Vallarta, and other resort areas depending on your guest needs and wedding vision.
The best destination depends on what matters most to you — flight access, resort style, beach quality, nightlife, guest budget, wedding package options, and the overall feel you want for your celebration.
What are the best destinations for a Caribbean wedding?
Popular Caribbean destination wedding locations include Jamaica, the Dominican Republic, St. Lucia, Aruba, and other island destinations depending on your priorities.
Each island has a different feel, travel experience, resort style, and price point. I’ll help you compare the options so you can choose a destination that fits both your vision and your guests.
Room Blocks & Guest Bookings
What is a room block?
A room block is a group of rooms held at a resort for your wedding guests.
It helps keep your group together, gives guests a clear way to book, and may allow you to access group pricing, deadlines, and possible perks based on the resort and supplier policies.
Room blocks are one of the most important parts of a destination wedding because they affect guest booking, room availability, payment timelines, and potential group benefits.
Why does the room block matter so much?
Your room block helps the resort recognize your guests as part of your wedding group.
If guests book outside the room block, they may not count toward your group benefits, room commitments, or earned perks. It can also make guest tracking, communication, transfers, and wedding planning more complicated.
A well-structured room block helps keep the experience more organized for you, your guests, and the resort.
How many rooms should we block?
That depends on your guest list, expected attendance, resort policies, room availability, and your overall comfort level.
Not everyone who says they are coming will book, and not everyone will book right away. I’ll help you think through your guest list realistically so we can choose a room block approach that makes sense for your wedding.
Do guests have to book through your room block?
Guests are strongly encouraged to book through your room block.
Booking through the room block helps keep guests connected to the wedding group, supports room block requirements, allows me to assist them more easily, and helps protect any group perks or credits you may be eligible for.
If guests book elsewhere, I may not be able to assist with their reservation or advocate for them in the same way.
Can guests make payments?
In many cases, yes.
Most room blocks allow guests to secure their room with a deposit and make payments over time before the final balance is due. Deposit amounts, final payment dates, and payment schedules vary by resort, supplier, and destination.
What happens if a guest misses a payment deadline?
Payment deadlines are important because missed payments can put a reservation at risk.
I send reminders and help guests understand upcoming deadlines, but guests are ultimately responsible for making payments on time. If a guest misses a deadline, I’ll help explain the available options based on the supplier or resort policies.
Can guests book their flights through you?
Guest flight arrangements may be available for a fee.
Flights can be more time-sensitive and require additional coordination, especially when guests are coming from different cities or have specific schedule needs. Wedding couple flight arrangements may be included depending on your planning package and agreement.
Do you help with transfers?
Yes. I can help guide transfer arrangements so guests understand how they are getting from the airport to the resort and back again.
Transfer options depend on the destination, resort, supplier, and guest travel details.
Do you help guests with travel protection?
Yes. I can share travel protection options and help guests understand why it may be worth considering.
Travel protection can be especially important for destination weddings because guests are investing in travel tied to a specific event. Coverage options and terms vary, so guests should review their policy details carefully.
Guest Communication
Will you answer guest questions?
Yes. Guest support is a big part of what I do.
Your guests can come to me with questions about booking, payments, room options, transfers, travel documents, deadlines, and other travel-related details.
That means you do not have to become the person answering every “what resort is it again?” text or every payment question in the group chat.
How will guests book?
Guests will use your custom group booking page.
This page gives them one clear place to view resort details, room options, pricing, deadlines, booking instructions, FAQs, and the reservation form. It helps make the booking process easier and keeps important information in one place.
Do you create a wedding website?
I create a custom group booking page for your guests.
You can link this page from your personal wedding website, invitations, save-the-dates, emails, texts, or QR code.
Do you provide QR codes or links for guests?
Yes. I provide a custom booking link and QR code so it is easy to share your room block information with guests.
You can include the link or QR code on save-the-dates, invitations, your personal wedding website, emails, or text messages.
Will we know who has booked?
Yes. I help track bookings as they come in so you can follow along and see how your guest list is shaping up.
This helps you stay informed without digging through messages or trying to track everything manually.
Pre-Travel, During Travel & Post-Travel Support
What happens before travel?
As travel gets closer, I help prepare you and your guests with important reminders, travel documents, transfer details, resort information, and helpful pre-travel communication.
The goal is for everyone to feel more prepared before departure and to reduce the number of last-minute questions landing on you.
Do you send pre-travel emails?
Yes. Guests (and you) will receive many emails to ensure you are fully prepared for the wedding trip.
These may include packing reminders, resort details, passport and immigration reminders, transportation information, destination tips, money and cell phone tips, and other details specific to your trip.
Are you available during travel?
Yes. My support does not stop once everyone leaves for the airport.
If travel delays, cancellations, transfer questions, or unexpected travel issues come up, I’m still here to help guide, support, and advocate when needed.
What happens after the wedding trip?
After everyone returns home, I help with final post-travel details.
This may include checking in about the trip, following up on any open travel items, and helping with earned perks or credits once they are finalized by the resort or supplier.
When are wedding perks or credits finalized?
Perks, credits, or complimentary room nights are typically finalized after travel once the resort or supplier has reviewed the final room block details.
The exact timing can vary, but it is common for these details to be handled in the weeks after everyone returns home.
Will you help make sure we receive earned perks?
Yes. If your wedding group earns eligible perks, credits, or complimentary room nights, I’ll help follow up and make sure the final details are handled properly.
If you earned it, I want to make sure it gets back to you.
Pricing, Perks & Payments
Can you get us group perks?
Group perks may be available depending on the resort, supplier, destination, room block size, travel dates, and final number of rooms booked.
Perks are never guaranteed unless they are included in the confirmed agreement or contract, but I’ll help you understand what may be available and how the room block structure can affect eligibility.
Can you save us money?
My goal is to help you make informed decisions, understand your options, avoid unnecessary stress, and create a smoother experience for you and your guests.
Sometimes that may include access to group pricing, payment plans, resort perks, or credits. But the bigger value is having someone help you choose wisely, understand the details, support your guests, and avoid costly confusion along the way.
Are you the lowest-priced option?
Not always, and that is not the goal.
Destination wedding planning is about more than finding the lowest price. It is about choosing the right resort, setting up the room block properly, understanding the deadlines, supporting your guests, and creating an experience that feels organized and aligned with your vision.
Why shouldn’t guests just book wherever they find the lowest price?
When guests book outside the room block, they may not count toward your wedding group.
That can affect room block requirements, group perks, guest tracking, transfer coordination, and my ability to assist if something goes wrong with their reservation.
It may look easier in the moment, but it can create complications later.
Do guests pay you directly?
Payment processes depend on the supplier, resort, and booking setup.
In most cases, guests will follow the instructions provided through the group booking page and reservation process. They will receive clear details about deposits, payment deadlines, and how their booking will be handled.
Wedding Planning Details
When do we start working with the resort wedding coordinator?
Many resorts begin the more detailed wedding planning process a few months before the wedding, often around 3–5 months out.
That is when you may start making choices about ceremony details, reception setup, menus, décor, timelines, and other wedding-day pieces.
Will you talk to the resort wedding coordinator for us?
The resort wedding coordinator will usually communicate directly with you about wedding-day details, but I can help you understand what questions to ask, when to follow up, and what details may need more clarity.
If something feels confusing or unfinished, I can help you make sense of it.
Do you help with décor, flowers, menus, and ceremony details?
Those details are usually handled by the resort wedding coordinator.
I can help you understand the process and talk through options from a travel and guest experience perspective, but I am not a wedding designer or on-site wedding planner.
Do you help with excursions or group activities?
Yes, I may be able to help with excursions or group activities depending on the destination, group size, and what you have in mind.
This can be a great way to help guests connect and make the wedding trip feel even more memorable.
Can you help with a honeymoon or mini moon?
Yes. I can help with a honeymoon or mini moon after the wedding if that is something you would like to include.
Some couples stay at the same resort, switch resorts, or move to another destination after the wedding celebration.
Fit & Expectations
What kind of couples are a good fit for working with you?
I’m a good fit for couples who want a destination wedding that feels thoughtful, organized, and supported.
You may be a good fit if you value clear communication, want help narrowing down resort options, care about your guests’ experience, and do not want to manage every travel detail on your own.
What if we are still early in the dreaming stage?
That is a great time to connect.
If you are still gathering ideas, start with the free destination wedding guide. When you are ready for more personalized support, you can submit an inquiry and share what you are thinking.
What if we already know exactly what we want?
That works too.
If you already have a destination, resort, or wedding date in mind, I can help you review the details, talk through room block options, and make sure the travel side is set up with care.
How involved do we need to be?
You will still make the important decisions, but I help make those decisions easier.
I’ll guide you through the options, explain what matters, keep the process organized, and let you know what needs your attention along the way.
Can we communicate exclusively via email?
Absolutely! I recommend we set up one initial consult call, but if you want to skip that, we can stick to email.
