Planning a trip means trusting me with personal details. This page explains what I collect, why I need it, who I share it with, and the choices you have.

Who I am

Katie’s Travel Agency, LLC (“I,” “me”) is a travel agency based at 843 10th Ave E, West Fargo, ND 58078. I book travel as an affiliate of Travel Leaders / Market Square, my host agency. This policy covers katiestravelagency.com and the planning services I provide.

What I collect

I only ask for what’s needed to plan and book your trip:

• Contact details — name, email, phone number, and mailing address.
• Traveler details — legal names, birthdates, and passport information, as required by airlines, cruise lines, and border authorities.
• Trip preferences — destinations, dates, budget, room and travel style, and special occasions.
• Special needs you choose to share — dietary, medical, or accessibility needs, so suppliers can accommodate them.
• Payment information — used to pay suppliers or my planning fees (see “Payments” below).
• Information about others in your party — including wedding guest lists for destination weddings and group trips.
• Website information — what you enter into forms on this site, plus basic technical data such as browser type and pages visited.

How I use it

• To plan, quote, book, and manage your travel.
• To communicate with you about your trip, including changes, reminders, and documents.
• To coordinate group and wedding travel, including room blocks and guest bookings.
• To send my email newsletter, only if you’ve signed up for it.
• To meet legal, tax, and accounting requirements.

I do not sell your personal information, and I do not share it with anyone for their own marketing.

Who I share it with

Booking travel means passing some of your details to the companies that provide it. I share only what each one needs.

• Travel suppliers — resorts, hotels, cruise lines, airlines, tour operators, destination management companies, wedding coordinators, and travel insurance providers, often through their booking portals.
• My host agency — Travel Leaders / Market Square, which processes bookings and commissions.
• Service providers that help me run my business — Tern (trip planning and client records), Calendly (scheduling), WPForms (website forms), FloDesk (email newsletter), and payment processors such as Stripe, Square, or PayPal.
• Legal requirements — when required by law, or to protect the rights and safety of you, me, or others.

Some suppliers are located outside the U.S. and Canada. When you book international travel, your details will be shared with them and handled under the laws of their country.

Payments

Card payments are either made directly to the supplier or processed through a secure payment provider. I do not store full card numbers after a payment is complete.

Sensitive information

Medical, dietary, and accessibility details are shared only when you give them to me, and only with the suppliers who need them to take care of you.

Other travelers and wedding guests

If you give me information about other people, such as travel companions or wedding guests, please make sure they’re comfortable with you sharing it. I use their details only to book and manage their part of the trip.

Email newsletter

You’ll only receive marketing emails if you opt in. Every email includes an unsubscribe link, and you can also ask me to remove you at any time. Trip-related emails for a booking you’ve made will still be sent.

Cookies and analytics

This site uses cookies and similar tools to work properly, filter spam, and understand how visitors use it (for example, which pages are most popular). You can block or delete cookies in your browser settings; some parts of the site may not work as well if you do.

How long I keep it

I keep your information for as long as needed to provide my services and to meet legal, tax, and accounting obligations. After that, I delete it or keep it only in a form that can’t identify you.

How I protect it

I use reputable, password-protected systems and limit access to your details. No method of sending or storing information online is completely secure, but I take reasonable steps to protect what you share.

Your choices

You can ask to see the personal information I hold about you, correct it, or have it deleted, unless I’m required to keep it. Canadian clients have these rights under Canadian privacy law, and many U.S. states provide similar ones. Email me and I’ll respond within 30 days.

Children

This site isn’t directed to children. I collect children’s details only from a parent or guardian, and only to book their travel.

Changes to this policy

If I update this policy, I’ll post the new version here with a new effective date.
